SUMMARY

My Calendar- Displays your reservations and availability on a linear calendar, color coded to show whether the reservation is confirmed, paid, partially paid, or not paid.

My Friends Calendars - Shows your linear reservation calendar followed by your friend’s linear reservation calendar. The “My Friends Calendars” screen was design for you and your friends to more easily share overflow bookings.

List View - Shows your reservations in chronological (date) order, beginning with the nearest bookings at the top and the farthest bookings at the bottom. The list view is printable and includes guest name, date, and contact information

Canceled - Displays all the reservations for which the status has been changed from “active” to “cancelled.”

Export / Excel - Download a complete file of your reservation information to be displayed in Microsoft Excel or any Spreadsheet program. The Export/Excel file can be used for backup and safe keeping of your reservation data and can be imported into any database program.

Hints:

+ Click white areas on the calendar to create a new reservation or click on colored areas to edit existing reservations.

+ Roll your cursor over any reservation on the calendar to see basic information about the reservation.

+ Each table in the linear calendar represents a month. Each column in the linear calendar is a day of the month.

SELECTING A DATE RANGE

To display reservations for a specific date range, type the beginning date and ending date in the text boxes near the top of the screen or click the links near the top to quickly shift the date range:

DISPLAY FRIENDS CALENDARS

The guest calendar is color coded using the color key shown at the upper right corner of the screen. Click this link for a more detailed description of the Calendar Color Key.

HOLIDAYS TABLE / COLOR KEY TABLE

The Holidays Table displays the names and dates of holidays that occur in the selected date range. The holiday dates displayed in the Holidays Table are displayed as bold, underlined dates in the linear calendar.

LINEAR CALENDAR

Linear calendars are popular for scheduling hourly work weeks. Some hotels use linear calendars for seeing room availability at-a-glance. Linear calendars are faster and easier to use than several traditional calendars.

  1. HOLIDAYS - holiday names and dates are listed in the textbox above the calendar for any holidays that occur within the date range of the calendar. Holidays dates are underlined. Roll over underlined dates to see the name of the holiday. We welcome you to suggest additional holidays to be added to the calendar.

  2. DETERMINING WEEKS - Each “table” contains a month. The top of each table displays the day of the month and the day of the week. The letters “Su” of each Sunday and the all Sundays of each month are marked in a bold font. The weeks of each month are marked in alternating light gray and dark gray sets to easier find the beginning and end of each week.

  3. RESERVATION “QUICK VIEW” - Place the cursor over any renter’s name on the calendar for a few moments and a quick summary of the reservation will appear in a pale yellow box. Click on the guest’s name to navigate to the guest’s complete reservation page.

  4. HOLIDAY “QUICK VIEW” - Place the cursor over any underlined date for a few moments and the name of the holiday will appear.

  5. PROPERTY LINK - Click any property name in the first column to navigate to a page about that property.
  6. CREATING A NEW RESERVATION - Click on any white date (cell) on the calendar to navigate to a page where you can type the information about a new reservation.

  7. EDIT AN EXISTING RESERVATION - Click on any reservation on the calendar to display and edit the reservation form.
